The Cash Box

When you set up a band in BandMath, you are automatically provisioned a special account known as the Cash Box.

While the Band Bank represents the overarching pool of money owned by the business entity, the Cash Box serves a very specific, physical purpose: it represents the actual, physical cash sitting at your merch table.

Why Do We Need a Cash Box?

When you sell merchandise for cash, that money physically exists at the merch table. Until someone takes that cash home or deposits it into a real bank account, it is considered "unclaimed."

If you log a cash sale directly to a band member, it assumes that member put the money straight into their pocket. However, in reality, the cash usually goes into a lockbox or a zipper pouch at the table for the duration of the show.

How to Use the Cash Box

  1. Accepting Cash: When logging a cash sale in the Point-of-Sale (POS) system, select the Cash Box as the recipient. This tells BandMath that the money is sitting in the lockbox.
  2. End of Night Distribution: At the end of the night, you should never leave cash in the box unattended. When a band member takes the cash home for safekeeping (or to deposit it into a real bank account the next day), you simply log a Cash Transfer from the Cash Box to that band member.

By using the Cash Box as a temporary holding area, your digital ledger will always perfectly reflect the physical reality of where your cash is located at any given moment.
